    About the meeting cost calculator

A one-hour meeting with eight people is not one hour of work — it is eight hours of work. This free meeting cost calculator shows what that time costs in money.

Enter how many people are in the meeting and their average pay — per hour, or as a yearly salary. Press Start, and the cost goes up in real time while you talk. Put it in fullscreen on the meeting-room screen, and everyone can see the number grow.

You can also plan ahead: enter the people and the planned length, and see the cost before you send the invite.

All the numbers stay in your browser. Nothing is uploaded, so you can type real pay rates.

    Features

    • Live cost timer — the cost goes up second by second, with the time, the cost per minute and the number of people
    • Plan ahead mode — people × pay × planned length, with a table of 15 to 90 minutes and what a shorter meeting saves
    • Hourly pay or yearly salary — a salary is changed to an hourly rate using 2,080 work hours a year
    • People by role — add each role with its own number of people and its own pay
    • People join and leave — press +1 or −1 while it runs, and each part of the meeting is charged at the right rate
    • Fun comparisons — cups of coffee and pizzas (at prices you can change), person-hours, and the cost of a whole year of the meeting
    • 6 styles, Fullscreen and Keep the screen on — Classic, Dark, Minimal, Money green, Neon and Taxi meter
    • 13 currencies and saved settings — $, €, £, ¥, ₹ and more; your settings, and a running meeting, survive a page reload

    The meeting cost formula

The cost of a meeting is:

Cost = number of people × average hourly pay × length in hours

    For example, 6 people × $50 an hour × 1.5 hours = $450.

If you know a yearly salary instead of an hourly rate, divide it by 2,080. That is a full-time year: 40 hours a week × 52 weeks. This calculator does the same.

    Yearly salaryHourly rate (÷ 2,080)
    $40,000$19.23
    $60,000$28.85
    $100,000$48.08
    $150,000$72.12

Pay is not the whole cost of a person to a company. Benefits, taxes, equipment and office space add more on top. Open More options and set Extra for benefits and office (%) if you want to count it — 20% to 40% is common.

    Example meeting costs

What common meetings cost, counting pay only:

PeopleAverage pay30 minutes60 minutes60 minutes every week for a year
    4$30 an hour$60$120$6,240
    4$50 an hour$100$200$10,400
    8$50 an hour$200$400$20,800
    8$75 an hour$300$600$31,200
    12$50 an hour$300$600$31,200
    12$100 an hour$600$1,200$62,400

A weekly one-hour meeting of 8 people at $50 an hour costs more than $20,000 a year. Cutting it to 30 minutes saves about $10,400.

    How to make meetings shorter

    • Have an agenda and a goal. If the meeting has no clear goal, it may not need to happen.
    • Invite fewer people. Ask only the people who must decide or do the work. Send notes to everyone else.
    • Book 25 or 50 minutes, not 30 or 60. People get a short break between meetings.
    • Start on time and end early when the goal is reached.
    • Give each agenda item a time limit. A Timer on the screen helps.
    • Write status updates in a message instead of reading them out in a meeting.
    • Keep daily stand-ups short — 15 minutes, standing up.
    • Show the cost. A live cost on the screen makes everyone think about the time.

    How to use it

    • Choose Live meeting or Plan ahead at the top
    • Pick your Currency

    • In Live meeting, press Start (or Space) when the meeting begins, and Pause when it ends
    • Press +1 or −1 when someone joins or leaves
    • Press Fullscreen to show the cost on the meeting-room screen, and pick a Style

    Frequently asked questions

How do you calculate the cost of a meeting?

Multiply the number of people by their average hourly pay, then by the length of the meeting in hours. Eight people at $50 an hour for 45 minutes is 8 × $50 × 0.75 = $300.

Why does it use 2,080 hours a year?

2,080 hours is a standard full-time year: 40 hours a week for 52 weeks. It is the usual way to change a salary to an hourly rate. It does not take out holidays or vacation days, so the real hourly cost of a person is often a little higher.

Should I count benefits and overhead?

If you want the full cost to the company, yes. Open More options and set Extra for benefits and office (%). If you only want to count pay, leave it at 0.

Can people in the meeting have different pay?

Yes. Choose Add people by role, then add a line for each role, with the number of people and their pay per hour or per year.

What if someone joins late or leaves early?

Press +1 or −1 while the timer runs, or change the numbers. The time before the change is charged at the old rate, and the time after it at the new rate.

Is the pay I type kept private?

Yes. Everything is worked out in your browser. Nothing is sent to a server. Your settings are saved only in this browser, so they are here next time.

Does it keep counting if I close or reload the page?

Yes. A running meeting is saved in your browser, so after a reload the timer goes on from the right time. A meeting left running for more than 12 hours starts fresh.
